Project Organiser (PO)
The European Institute of Public Administration (EIPA) was created in 1981 on the occasion of the first European Council held in Maastricht and is supported by the EU Member States and the European Commission. Our core mission is to provide a mix of deep insights and practical knowledge about EU policies, to all professionals related to EU public affairs, with the key objective of further improving their skills and capabilities for effective management of the policies. In addition to the Maastricht-based headquarters, EIPA has a centre in Luxembourg: the European Centre for Judges and Lawyers (ECJL).
The position
The EIPA Project Organisation (PO) team in Maastricht supports the implementation of all projects. PO staff take care of planning, execution and logistics of all project activities, and provide administrative support. Cooperating closely with EIPA experts/project leaders, they ensure the coordination with other divisions (Finance, Marketing, Internal Services, etc.). They liaise with clients, external experts, participants and subcontractors/suppliers (e.g. hotels, restaurants, translation/interpretation) and are involved in both the preparation and implementation of projects.
Our new colleague will provide administrative, logistical and organisational assistance for projects and training activities (both contract and open-enrolment). You assist the experts in the organisation of (online) courses and provide online support where necessary. You report directly to the Head of Project Organisation.
Main tasks and responsibilities
As a Project Organiser, your responsibilities include:
- Managing administrative and logistical aspects of training activities.
- Organising both in-person and online training courses, seminars, and conferences.
- Providing administrative and e-learning support to experts and project leaders.
- Assisting in contract preparation and coordination.
- Tracking project progress and overseeing budgets.
- Supporting experts in project delivery.
- Maintaining business relationships with internal and external stakeholders.
- Serving as the primary point of contact for project organisation.
Job requirements
Qualifications and professional experience:
- Higher vocational education.
- Excellent command of English (spoken and written).
- Additional language proficiency in French, German, Italian, Spanish or Dutch is regarded as an asset.
- Proficiency in computer skills and learning tools, particularly Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams).
- At least five years of experience in a similar role.
- Proven Project Cycle Management experience.
- Experience with e-learning tools and preparing online learning materials.
- Experience with Moodle, Mural, Zoom and Webex platforms is beneficial.
